Guidelines


Registration Guidelines:

1. Conference registration will begin at 8:00 AM from December 17-19, 2024 in Dubai, UAE.
2. At the registration desk, you will be given your ID card and conference schedule.
3. If you have any questions, contact the onsite coordinator.
4. You can pay the registration fee in cash to the onsite coordinator (before that, confirm your participation via email and ask us for the name of the coordinator).


Speaker/Poster Guidelines:

Here’s a general overview of guidelines for conference speakers and poster presenters:

Speaker Guidelines

1.            Presentation Length:
Check the allotted time for your presentation (typically 25 minutes).
Include time for Q&A.
2.            Slide Design:
Use a clear, simple design.
Limit the amount of text on each slide (bullet points are ideal).

Use high-quality images and charts to convey data.

Include a title slide with your name, title, and affiliation.

3.            Content:

Start with a clear introduction outlining your talk’s objectives.

Present your research methods, results, and conclusions logically.

Practice delivering your presentation to ensure smooth flow and timing.

4.            Technical Considerations:

Bring your presentation on a USB drive and upload it in advance.

Ensure compatibility with the conference's AV equipment (e.g., PowerPoint, PDF).

Have a backup copy stored online.

5.            Engagement:

Make eye contact with your audience.

Use a laser pointer sparingly.

Encourage questions during or after your presentation.

6.            Attire:

Dress professionally according to the conference's norms.

7.            Practice:

Rehearse multiple times.

Get feedback from colleagues.

Poster Guidelines

1.            Poster Size:

Follow the specific size requirements (usually A0 or 36x48 inches).

Ensure your poster fits the provided display board.

2.            Layout:

Use a clean, organized layout with sections like Title, Abstract, Introduction, Methods, Results, Discussion, and Conclusion.

Title should be large and easy to read from a distance.

Use bullet points, charts, and images for easy understanding.

3.            Design:

Stick to a color scheme that enhances readability.

Use high-resolution images.

Avoid clutter—leave enough white space.

4.            Content:

Be concise; include only key points.

Use short sentences and avoid jargon.

Include your name, title, affiliation, and contact information.

5.            Printing:

Print your poster well in advance.

Bring materials for mounting (e.g., tacks, Velcro strips).

6.            Presentation:

Be prepared to explain your poster concisely to viewers.

Practice a 2-3 minute overview.

oEngage with attendees and answer questions.

7.            Attire:

Dress professionally.

Following these guidelines will help ensure your presentation or poster is clear, engaging, and professional, leaving a strong impression on your audience.

What you need to know:

Use PowerPoint or any program that can be converted to PDF.

• To upload of your ePoster/online Poster will be possible in these formats: PowerPoint,PDF/ JPG.
• The ePoster/online Poster consists of one page only.
• You will ask in the submission process to write the reading logical sequence (or sections) of your poster (Title, Introduction, Aim, Methods, Results, Conclusion, Acknowledgements, etc.)
• We will transform your poster to a high-resolution image 4000 pixel wide.

Virtual Presentation Guidelines:

1. The Virtual Speaker or Poster Presentation allows participants across the world  to present their research work conveniently from anywhere without travelling.

2.  All the Registered attendees will receive the virtual conference meeting invite with personalized user ID for the virtual conference access prior to the conference.

3. Virtual attendees needs to join the meeting 30 minutes early, to avoid the last minute hustle and technical issues.

4.  Each speaker will be provided with 20-25 minutes for their presentation. Accordingly prepare your presentation for 17-19 minutes to allow for introduction and Q&A session at the end of your presentation.
5.  In order to follow the time mentioned in the conference program, kindly ensure that you start and end your presentation according to the program scheduled.

6.  A presenter, should be ready with the updated presentation slides open in your computer or other device. You need to share that presentation while sharing your screen.

6.  If someone would like to share the recorded presentation instead of attending and presenting online, we must recommend you to provide us with the recorded files along with power point presentation before 10 days of conference start date.

ePoster/online Poster Guidelines

You may use PowerPoint that can be converted to PDF.

• ePoster/online Poster should be in these formats: PowerPoint, PDF or JPG.

• The ePoster/online Poster should be of one page only.

• In the submission process, you will be asked to list the logical reading sequence (or sections) of your poster (Title, Introduction, Aim, Methods, Results, Conclusion, Acknowledgements, etc.)

• We will transform your poster to a high-resolution image 4000 pixel wide.

Information specific to ePoster/online Poster:

Once your poster is uploaded and processed by us, you will receive a notification via

email within 1 week in order to review your ePoster/online Poster before the Conference.

Poster format: Landscape format is highly recommended.

Make sure your poster file is in full Landscape format.

It is strongly recommended to use a size of 122 cm wide x 91 cm high, with a simple and clear typeface (Arial, Arial black, Calibri..) and regular text size not less than 28 for the body of the different sections (depending on the amount of data you will be adding and, of course, the design you are using).

 

Images/pictures or graphs, the suggested resolution is 300 dpi. 

To check that they appear correctly on the final/printed version, zoom in at 100% and check the images, pictures and graphs. It is better to use high quality images/graphs when creating the poster and then convert it to PDF (as PDF files can be compressed). Provide clear labels or headings for each section of your presentation to avoid confusion. 

Color: 

On light backgrounds (white, yellow, light blue) use dark fonts (black, navy blue, dark green).

On dark backgrounds (blue, purple) use light fonts (white, yellow, cyan etc.).

Try to avoid:

Having a total file size that exceeds 10 MB (although our system will still accept it).

The use of red or green in fonts or backgrounds as they are colors that are difficult to read.

Full width section, it will be very difficult to read it when divided as a section, even zoomed in. 

Don't stretch the images manually or it will lose quality once zoomed in.

Try to be clear and concise with design and content. Less is more

Certifications Guidelines:

1.  All the attendees will be provided with delegate certificate signed by the organizing committee members. Name and affiliation on the certificates will be printed on certificates as per our records, for any changes or requests regarding the certification— please contact us before one month of the conference.

2.  Certificates will be provided during the session or after completion of the session, so please make sure to be present until the session ends.

3.  E-certificate will be sent through email in 2-3 working days after the completion of the conference.

4.  Co-authors not attending the conference will not receive the certificate.
